What’s in it for me?
For a modern marketer work is likely to be centered around various campaigns, be it a new website launch, visual identity update, an ad campaign, etc.
This template is universal and can be used for planning, collaborating on and tracking any marketing campaign, with ease and speed.
When & how to use it?
The template is handy, whenever you plan a marketing campaign that involves several team members, often in a distributed team and working in various time zones.
Use Infolio’s Kanban board for managing campaign related tasks visually. Organize your content, be it design samples, research data, collateral, visuals, etc. on visual collaborative spaces. Discuss issues in the built-in Chat. Follow the simple steps below to set up your marketing campaign and collaborate on it with your team.
Step 1. New project & tasks
Sign up to Infolio,
Create a new project, by clicking on “+ Add project” at the left bottom in the projects panel. Name the project, e.g. “Marketing Campaign Tracker”, and then go to the tab “Project tasks”, which works as a Kanban board for task management.
Then, capture all your campaign related tasks under the “General” column (so far – irrespective of the domain or specifics), by adding each one with “+” (e.g. in our project – “Keywords research”, “Website look & feel update”, “New editorial calendar Q2-Q3”, etc.).
Step 2. Custom lists & statuses
Once all your tasks are nailed down, you can create custom Lists for each specific domain (e.g. “Website”, “Content marketing”, “Sales collateral”, etc.) and distribute the task cards among the lists accordingly.
The next step would be creating custom Statuses that correspond to your specific workflow: first, click on “Grouped by” and select “Status”, then add the Statuses (e.g. “Open”, “In Discussion”, “In Progress”, etc.). Drag all your tasks to the respective column. Your project is all set now!
Step 3. Assigning tasks
Usually the tasks are distributed among the team members, and you can easily assign a task and set a due date by opening the chosen task card and clicking on the respective icons.
To see who of the team is busy with what task, simply “Group by Assignee”, and you will be able to view the tasks assigned to each team member, grouped into neat columns.
Step 4. Project collaboration
Infolio is a perfect hub for project collaboration. To add related content to any task, you can link a virtual collaborative space to it. For that open the task card and click on “Attach files, link spaces and more” to drag the files onto the space or attach files right to the card.
Also, every project allows creating an unlimited number of collaborative spaces, to organize project assets on them, be it documents, images, web links, notes, etc., and collaborate on them. Click on “+” below the Project chat to create such a space, name it (e.g. “Project Assets”) and place the content onto it. Infolio also offers a built-in Chat to discuss project issues, without switching to other tools.
Step 5. Progress tracking
Enjoy visual project tracking with Infolio, by grouping tasks by Status (e.g. "Open" or “In Progress”) or by List (e.g. "Content Marketing" or “Public Relations”). See which tasks are on track and which lag behind, to address road blockers early.
Change the status of any task by either dragging the task card to "Closed" column or by opening the card and changing its Status in the upper left corner.
Enjoy efficient and visual teamwork, when your team, your files and your tasks are all in one place!
