What’s in it for me?

Need to set up or enhance Internal Communications Management in your organization? We have an Infolio template for you to simplify the task. Use it to plan the project, communicate and collaborate with your team, and track the progress in real time.

What’s in it for me?

Use this template whenever you need to start or propel your Internal Communications Management, collaborating with a few people, often in a distributed team. If you need a framework for Communications set up, and a hub for content collaboration or discussing stuff in one place – this one is for you.

The guidelines below will serve as a simple guide in setting up your Internal Communications Management project, managing the tasks and tracking progress in a few steps.

Step 1. New project & tasks

Once signed in to Infolio,

create a new project, by clicking on “+ Add project” at the left bottom in the projects panel. Name the project, e.g. “Internal Communications Management”. Go to the tab “Project tasks”, which is actually a Kanban board for task management.

First, nail down all your project tasks (so far – irrespective of the domain) under the “General” column, by adding each one with “+” (e.g. in our case – “Conduct Communications Audit”, “Analyze Business Goals Q1-Q2”, “Brainstorming Workshop”, etc.

Step 2. Custom lists & statuses

Once the tasks have been captured, create custom Lists (or domains, e.g. “Research & Analysis”, “Strategic”, “Tactical”), using “[+] New List” up in the right hand corner. To sort out the tasks, drag and drop them into the respective list.

Now it’s time to set up your custom Statuses: first, click on “Grouped by” and select “Status”, then add statuses relevant to your workflow (in our case “Open”, “In Discussion”, “In Progress”), and sort the tasks out between the Status columns.

Step 3. Assigning tasks

To distribute tasks, open the respective task card, assign it to your team mate and set a due date, by clicking on the respective icons. You can add attachments or even link an entire collaborative space to each task, for content organization and collaboration. “Group by Assignee” – to see who in your team is busy with what, and who might need support.

Step 4. Project collaboration

Task related content can be linked to a specific task card, both as files or as an attached collaborative space with data. Open a task card for that and click on the respective icon.

Also, all project assets (be it documents, research web links, notes or tasks) can be stored within a dedicated space. To create “Project Assets“ space, simply click on “+” below the Project chat and drag all the files onto it. Discuss issues in the Chat, without switching to other tools.

Step 5. Progress tracking

To track your progress with Communication initiatives, group tasks by Status (e.g. “In Progress”) or List (e.g. “Research & Analysis”). This will allow to identify road blockers, if any, and take action, where needed. Change the status of a task by either dragging the task card to “Done” column or by opening the card and changing its status in the upper left corner.
