What’s in it for me?

To design beautiful things, focus is needed, and smart templates can simplify the job. Use this template for planning, collaborating on and tracking wed design development initiatives, mapping out the relevant tasks and stages.

When & how to use it?

You may find the template handy whenever you plan a web design project, for example, as part of a new website development. The template offers an easy framework for coordinating activities in a transparent manner, especially in a distributed team.

Simple yet powerful

The template suggests splitting the activities into several phases: Discovery, Ideation, Creative and Presentation. Use Infolio’s Kanban board for managing project tasks, brainstorm and arrange content (be it design samples, research data, web links, etc.) on visual boards. Discuss project issues in the team Chat. The steps below will guide you through the project set up and delivery.

Step 1. New project & tasks

Sign up to Infolio,

Create a new project, by clicking on “+ Add project” at the left bottom in the projects panel. Name the project, e.g. “Web Design Development”, and navigate to the tab “Project tasks”, which is a Kanban board for task management.

Now you can nail down all the project tasks under the “General” column (so far – irrespective of the domain or specifics), by adding each one with “+” (e.g. in our project – “Set goals/KPIs”, “Briefing”, “Research ideas”, etc.).

Step 2. Custom lists & statuses

When you’ve captured all the tasks, you can move over to creating custom Lists for your specific domains (or stages, e.g. “Discovery”, “Ideation”, “Creation”, etc. ). Then you can distribute the task cards among the Lists accordingly, using drag & drop.

Every project has its unique workflow and you can design yours by adding custom Statuses to your Infolio project (e.g. “Open”, “In Progress”, “In Review”, etc.). For that group the task cards “by Status” first, and then add your Statuses, using the “+”. Drag all your tasks to the respective column. Your project is all set now!

Step 3. Assigning tasks

Tasks are better managed, when distributed among your team. Thus, assign your tasks and set due dates by opening a specific task card and clicking on the respective icons on it.

To see who of the team is doing what, group task cards “by Assignee” and you will be able to view the tasks assigned to each team member, presented in columns.

Step 4. Project collaboration

Tasks related content can be linked to a specific task card, both as file attachments or as a linked virtual board for teamwork. Open a task card for that and click on “Attach files, link spaces and more”.

Also, your project assets (be it documents, research web links, notes or tasks) can be arranged on a shared space or board. To create a team space, simply click on "+" below the Project chat, name the space (e.g. “Web Design”), and drag all the files onto it. If any issues, you can discuss them in Infolio Chat, without switching to other tools.

Step 5. Progress tracking

For your team leader or customer to track the design progress, group tasks “by Status” (e.g. "In Progress") or List (e.g. "Creative"). This will help you to notice roadblocks, if any, and take action fast. You can change the task status by either dragging the task card to "Done" column or by opening the card and changing its status in the upper left corner.
