At Infolio we suggest splitting large design initiatives into 5-day sprints or time constrained 5-phase projects. This allows flexibility in adjusting the roadmap and helps to eliminate risks, while bringing a new product, service or feature to the market.
When & how to use it?
Use the template whenever you plan and run design development that involves a few people, often in a distributed team, working in various time zones.
The template offers an easy workflow for a 5-day design sprint, which includes a Kanban board for task management, collaborative virtual boards — for content sharing and teamwork, and a team chat, all in one.
Step 1. New project & tasks
Sign up to Infolio
Use Infolio as a collaboration hub for your design project. Create it by clicking on “+ Add project” at the left bottom in the projects panel. Name the project, e.g. “Design Sprint Planning” and then navigate to the tab “Project tasks”, which is actually a Kanban board for task management
First, nail down all your project tasks (so far – irrespective of the domain or specifics) under the “General” column, by adding each one with “+” (e.g. in our case – “Set up team communication”, “Map out the problem”, “Review research”, and more).
Step 2. Custom lists & statuses
Once all project tasks are captured, you can create custom Lists, each for a specific sprint day (e.g. “Day 1.Pre-Sprint”, “Day 2. Problem Statement”, etc.) and distribute the task cards among the lists accordingly.
The next step would be creating custom Statuses that correspond to your specific workflow: first, group the tasks “by Status”, then add the Statuses (e.g. “Open”, “Ideation”, “Creation”, etc.). Drag all your tasks to the respective column. Voila! You are all set now!
Step 3. Assigning tasks
At every stage, you will have tasks to assign. You can easily do that and set a task due date by opening the chosen task card and clicking on the respective icons.
To see who of the team is busy with what task, simply group “by Assignee”, and you will be able to view the tasks assigned to each team member, presented in columns.
Step 4. Project collaboration
Use the built-in Chat and visual boards to discuss project issues and collaborate in real-time. Tasks related content can be linked to a specific task card, as files or as an entire team board. Open a task card for that and click on “Attach files, link spaces & more”, create a space for teamwork, and place project deliverables onto it.
Besides, projects assets (e.g. documents, web links, notes, etc.) can be arranged on a dedicated space. To create such a space, simply click on "+" below the Project chat, create a Space, name it (e.g. “Design Sprint”) and drag all the files onto it.
Step 5. Progress tracking
To track the progress of your design sprint, group tasks by Status (e.g. "Ideation") or List (e.g. "Day 2"). This will allow to identify roadblocks, if any, and take action, where needed. Change the status of a task by either dragging the task card to "Done" column or by opening the card and changing its status in the upper left corner.
