General
Motech Ltd. and its affiliated companies value your privacy in your personal information and content that you store, upload and use by means of our application and any services enabled thereby (“App” and “Services” respectively). This Privacy Policy explains what information Motech Ltd. and its affiliates (together, “Infolio” or “we” and sometimes “us”, “our”) collect about you and why, what we do with that information and how we handle the information. This Privacy Policy is incorporated into our End User License Agreement and applies to the information obtained by us through your use of this website, our App, the Services and other Infolio products and services. Please read the following to learn more about our Privacy Policy. By using or accessing the App and any Services, you acknowledge that you accept the practices and policies outlined in this Privacy Policy and agree to its terms. Capitalized terms used in this Privacy Policy and not otherwise defined shall have the meanings provided for those terms in the Terms of Service.
What does this privacy policy cover?

This policy covers how we treat personal information that we collect and receive. Personal information is information about you that is personally identifiable like your name, address, email address, third party account credentials, etc.

Please do your part to help us. You are responsible for maintaining the secrecy of your password and account information. Your privacy settings may also be affected by changes the social media services you connect to our Services make to their services - please review your privacy settings from time to time and make sure you are ok with these settings.

This policy does not apply to the practices of companies that we do not own or control or to people that we do not employ or manage.
Information collection and use
We collect information in two ways: Information we get from your use of our Services (including information from third parties), and information you provide to us directly.
Information provided by you:

We collect personal information when you register with us, when you use our products or Services, when you visit our web pages or the web pages of our partners. For example, through the registration process we collect your name, email address, location, third-party account credentials (e.g. such as Dropbox, Google Drive), etc. We may combine information about you that we have with information we obtain from such third-party accounts.

The amount and type of information that is provided depends on the nature of the interaction you choose when using our Services. For example, users who sign up for our Services are required to provide a first name, last name and email address. Organizations and individuals who engage in financial transactions to purchase paid services are asked to provide additional information, such as the personal and financial information required to process those transactions (in which case the information required for processing such transactions is collected by a third party and not saved by us)

We store the content you independently add to your account but we do not access such content except as expressly permitted by you, pursuant to the preferences of your account (as you may define from time to time) or for the specific cases described in this Privacy Policy (under clause titled Information Sharing and Disclosure).
Information collected automatically:

Information we get from your use of the Services includes information of the sort that web browsers and mobile applications typically make available, (i.e., the browser type, language preference, referring site, the time of each visit, how you use the Service (e.g. search queries), your approximate location (country, city, region, etc.), device information (e.g. computing platform, device family, device type, device ID, carrier), geo latitude/longitude).

We collect this non-personally-identifying information in order to better understand how users use the Services and, where possible, to improve services performance and user experience.

We also automatically collect Internet Protocol (IP) addresses, the Uniform Resource Locator (URL) accessed and the unique identification number associated with the account, record of interactions the user has with the Services and with the App through mobile and web analytics. We do not use that information to identify you, with one exception: we may discover, by reviewing log files, that a particular account is breaching the End User License Agreement or using the Services in a way that is degrading the experience for all the Services’ users. If this is discovered, we may look up personally identifiable information associated with that account in order to contact the account owner. We collect and store such information at our servers or servers of our contractors including third party cloud services that we use. This is done to further improve our services. We handle and disclose this information in the same way we handle other potentially personally identifying information as described in this Privacy Policy.
Information received from third parties:

If you provide your third-party account credentials to us or otherwise sign in to the Services through a third party site or service (such as Facebook, LinkedIn, Salesforce, OneDrive, SharePoint Online, Slack or Google), some of your content and/or information in those accounts ("Third Party Account Information") may be transmitted into your account with us (e.g. name, email address and other contact details). The information that is shared with you is detailed when you sign in through a Third Party Account. We use such Third Party Account Information transmitted to our Services in accordance with this Privacy Policy. Certain information is required in order to take advantage of some of the Services and App features.

We will save and store additional information related to your contact with our customer support team.

We audit our Services and users’ conduct from time to time to ensure compliance with this Privacy Policy and our End User License Agreement.

In the process of supporting our Services (as further described below), we may need to investigate the data within your account, including data you have entered into your spaces. If this occurs, we will use reasonable efforts to obtain your permission except as otherwise set forth in this Privacy Policy. If you request our support, we will ask for your permission to investigate your data. In this respect, we use your data for: (i) Troubleshooting, which is aimed at preventing, detecting, and repairing problems affecting the operation of Services; and (ii) Ongoing improvement of features, such as increasing those that improve the reliability of our Services or involve detection of, and protection against, threats to the Services or users data (for example, malware or spam).

We use “cookies” (a small text file sent by your computer each time you visit our website, unique to your user account or your browser) to record log data. We use several types of cookies:

HubSpot: __hssc - This cookie keeps track of sessions. This is used to determine if we should increment the session number and timestamps in the __hstc cookie. It contains the domain, viewCount (increments each pageView in a session), and session start timestamp (duration: 30 minutes).

HubSpot: __hssrc - Whenever HubSpot changes the session cookie, this cookie is also set. We set it to 1 and use it to determine if the visitor has restarted their browser. If this cookie does not exist when we manage cookies, we assume it is a new session. (duration: session cookie).

HubSpot: __hstc - The main cookie for tracking visitors. It contains the domain, utk (see below), initial timestamp (first visit), last timestamp (last visit), current timestamp (this visit), and session number (increments for each subsequent session). (duration: 2 years).

Aggregated and analytical information

We use anonymous, statistical or aggregated information and may share it with our partners for legitimate business purposes. It has no effect on your privacy, because there is no reasonable way to extract data from the aggregated information that can be associated with you.
How we use information
We use information for the following general purposes: to fulfill our contract with you, to fulfill your requests for products and services, improve our services and contact you. Here are some of the ways we may use personal information you provide us:

To allow you to register for our Services and to administer and process the registration. You don’t have to register with our Services however, please keep in mind that you may not be able to use some of the features offered by the App unless you register with us.

Information you display publicly via our services
Users may elect to publicly post any information (including personally identifying or sensitive information about themselves and/or their content), in their normal use of our Services. This could occur for example, through sharing spaces with other users or publishing a link to the user’s spaces. Such shared or published information becomes publicly available. As such, it is not subject to the protocols listed herein, because we cannot control it; you do. Additionally, voluntarily publishing such information may also increase your chances of receiving unwanted communications, like spam.
Please also remember that if you choose to provide information using certain public features of the Services, individuals reading such information may use or disclose it to other individuals or entities without our control and without your knowledge, and search engines may index that information. We therefore urge you to think carefully about including any specific information you may deem private in content that you create or information that you submit through our Services.
If you choose to interact with other users and share your content or information you are solely responsible for the scope of information that you share. We do not use or disclose such data other than as described in this Privacy Policy.
Third party links, services and applications
Some third parties’ content or plugins embedded on the Services, such as Facebook “Like” buttons, may allow their operators to learn that you have visited our Services, and they may combine this information with other identifiable information they have collected about your visits to other websites or online services. Some third-party applications and services that work with our Services may ask for permission to access your content or other information about your account. Please consider your selection of such applications and services and your permissions. This Privacy Policy only applies to information collected by us. It does not apply to the practices of companies that we do not own or control or employees that we do not manage. Information on our Services may contain links to third party services, websites or applications, and any information you provide to those sites and applications will be covered by any privacy policies they may have. Please be sure to read the privacy policies of any third-party applications, services and sites that you visit or provide permission to access your information. It is those third parties responsibility to protect any information you give them, so we will not be held liable for their wrongful use of your personally identifying information.
Collaboration, sharing and interaction features
The App has a number of collaboration, sharing and interaction features, and when you use these features to collaborate, share or interact with others, some of the information you provide to us, including your status as an Infolio service user, and your content may be visible to these other users, pursuant to the following terms:

If you share a space, or if you join a shared space, then anyone who has access to that space may see your user profile. If you have not added any profile information, then you will be identified by the email address associated with your account.

If you initiate or respond to a chat message, then the person with whom you are chatting will be able to view your profile and content, which you choose to share according to the preferences of your account.

If you are a Team Account user, other members of your Team Account will see your full Team Account profile. Other users of the Services who are not in your Team Account will only see your profile name, image (if you choose to upload one) and your email address.
Information sharing and disclosure
We do not rent, sell, or share personal information about you or your content with other people or companies except to provide products or services you've requested, or under the following circumstances:

We have your explicit consent to share the information.

We respond to subpoenas, court orders, or legal process, or to establish or exercise our legal rights or defend against legal claims.

We believe it is necessary to share information in order to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of our Terms of Service, or as otherwise required by law.

We may transfer information that we collect if we will be acquired by or merged with another company. If that should occur, user information is typically one of the assets that get transferred. Similarly, if Motech Ltd or most of its assets were acquired, or in the unlikely event that we go out of business or enter bankruptcy, user information could be transferred or acquired. You should be aware that such events can occur, and you allow us to transfer your information in such event. If such event occurs, the buyer may continue to use your information. In such events, we will notify you before information about you is transferred and use best efforts to require our successor to comply with this privacy policy.

We may communicate with you if you provide us the means to do so. For example, if you provide us with your email address, we may send you an email to tell you about new features, solicit your feedback, provide service announcements, administrative messages, newsletters, or just keep you up to date with what's going on with the Services. Also, we may receive a confirmation when you open an email from us. This confirmation helps us make our communications with you more interesting and improve our Services. If we send you information that you did not expressly request or you are not interested in, we will provide you with a way to request that you do not receive any similar notices (opt-out, unsubscribe, etc.).

We may share your information with service providers who process data on our behalf in order to operate and improve the features and functionality of the Services; complete your payment transactions; fulfill your product or service requests, including sales, delivery and support requests; and help us communicate with you as described elsewhere in this policy; these providers are subject to strict data protection requirements.

We make best effort to establish physical, electronic, and procedural measures in order to protect personal information and content of our users.
Team account – access by your account administrator
When you are using the Services under a Team Account, the Administrator of your Team Account has access to content created by you that is associated with that Team Account. The Administrator can see the content you have shared and with whom you have shared this content. The Administrator will see the profile name for other members of the Team Account. Administrator may have additional rights within the Team Account and may grant access rights, and restrict or revoke your rights to access certain information or features in such Team Account.
How and where we store your information?

We store information on facilities located in third party cloud services. For information on our cloud service providers please contact our support at support@infolio.co.

When you use our Services on your computing device, such as by using one of our downloadable applications, content you save will be stored locally on that device. When you sync your computing device with the Services, that content will be replicated on servers we and our service providers maintain in different countries.

By registering for and using the Services you consent to the transfer of information to any country in which we, our affiliates or service providers maintain facilities or offices and the use and disclosure of information about you as described in this Privacy Policy.

AS PART OF THE STORAGE OF YOUR INFORMATION, INFORMATION THAT WE COLLECT ABOUT YOU, INCLUDING PERSONAL INFORMATION, MAY BE TRANSFERRED ACROSS BORDERS AND FROM YOUR COUNTRY OR JURISDICTION TO OTHER COUNTRIES OR JURISDICTIONS AROUND THE WORLD. TO THE EXTENT NECESSARY UNDER EU PRIVACY LAWS AND REGULATIONS, WE WILL IMPLEMENT DATA ONWARD TRANSFER INSTRUMENTS SUCH AS DATA PROTECTION AGREEMENTS.
Information review and update
Upon request, we will provide you with access to the information we collect about you. You will have the opportunity to correct, update, modify or delete your information collected by us. Please note that there may be limits to the information we can provide. For example, we may limit an individual's access to personal information where doing so would violate others' rights.
You can request deletion of your account by contacting our support. Following termination or deactivation of your account, we, our affiliates or service providers may retain information (including your profile information) for a up to one year, or, if you are part of a Team Account – until the Team Account is deleted, for backup, archival, and/or audit purposes. You can request information on the data that might possibly remain in our archived records after your account has been deleted.
You may ask to transfer your personal information in accordance with your right to data portability.
You have the right to object to our processing of your personal information.
If you send us a request, such as emailing us for support, we reserve the right to publish it (absent any personally identifying information) in order to help us clarify or respond to your request or help other users.
Your content
We use a number of technologies to help you get the most out of the Services. Our systems automatically analyze your data, including your content, in order to power Infolio features and to continually improve the Services for you. This may include, for example:

Making search work the way you want it to;

Showing you information most relevant to how you are using the Service at a specific time or location;

Suggesting or tips that might be useful;

Showing you information relevant to content you are creating or reviewing.
Content deletion
You can delete content that you uploaded to the Services at any time, and you can stop using our Service at any time. If you delete content it will not be available to you, however our back-up and archiving systems may retain residual copies of your deleted content for certain time due to the nature of those systems’ operations. Shared information will remain available to the person you shared with, but your personal information will not be associated with it.
If you terminate your account the content in your account will NOT be automatically deleted. Following termination of your account for any reason, we may remove your data within reasonable time (up to one year, or, if you are part of a Team Account – until the Team Account is deleted), provided that we may retain certain user data during reasonable time following termination. Shared information will remain available to the person you shared with but your personal information will not be associated with it.
If we terminate your account due to violation of our Terms of Service, then you may contact us to request deletion of your data as provided above.
Information regarding children
We do not collect any identifiable information from children under the age of 16. If you believe that a child has provided us with personally identifiable information without the consent of his or her parent or guardian, please contact us at info@infolio.co.
If we become aware that a child under age 16 has provided us with personally identifiable information, we will remove it.
Complaints
You have the right to file complaints with a data protection supervisory authority.
Changes to this policy
We may update this policy from time to time. We will notify you about significant changes in the way we treat information by sending a notice to the primary email address specified you provided us and by placing a prominent notice on our site. If you do not agree to be bound by the terms of the new or modified Privacy Policy, you agree to stop using the Services or the App, as applicable.
